Terms and Conditions

These Booking Terms and Conditions (“Agreement”) govern the arrangement between STEMx (“the Company”) and the school or institution (“the Client”) for the delivery of STEMx educational workshops (“Workshops”). By confirming the booking, the Client agrees to these terms and conditions.

  1. Booking and Confirmation
    1.1. All bookings must be made via our online booking platform.
    1.2. A booking is considered confirmed when the Client receives a written confirmation from the Company. The confirmation will outline the details of the Workshop, including the date, time, content, and the number of facilitators.
    1.3. The Client must provide accurate and complete information regarding the number of students, age group, and any specific requirements for the Workshop at the time of booking.
  2. Workshop Delivery
    2.1. The Company will deliver the Workshop as per the agreed schedule and content unless otherwise stated.
    2.2. The Company reserves the right to alter the content or delivery method if necessary to ensure the effectiveness of the Workshop. The Client will be notified of any major changes in advance.
    2.3. The Client is responsible for ensuring the appropriate facilities are available for the Workshop, including adequate space, seating, audiovisual equipment (if required), and any other specific requirements agreed upon.
    2.4. The Company reserves the right to cancel or reschedule the Workshop if the agreed facilities or safety standards are not met.
  3. Fees and Payment
    3.1. The total cost for the Workshop will be outlined in the booking confirmation.
    3.2. Payment terms: The balance is paid in full and is due no later than 28 days before the Workshop date.
    3.3. Payments can be made via BACS. Relevant account details can be found on your invoice.
    3.4 The delivery of the workshop is contingent upon receipt of payment prior to the event.
  4. Cancellation and Rescheduling
    4.1. Cancellation by the Client:
    – Cancellations made more than 28 days before the Workshop date will not incur a cancellation fee.
    – Cancellations made 28 days or less before the Workshop date will incur a cancellation fee of 50% of the total booking fee.
    4.2. Cancellation by the Company: The Company reserves the right to cancel or reschedule the Workshop due to unforeseen circumstances, including illness, extreme weather, or other emergencies. In such cases, the Client will be offered a full refund or the option to reschedule the Workshop at a later date.
    4.3. If rescheduled, the Client will be given priority in choosing an alternative date, subject to availability.
  5. Liability and Insurance
    5.1. The Company maintains public liability insurance for the duration of the Workshop. However, the Client is responsible for ensuring the safety of all students and staff during the Workshop.
    5.2. The Client must inform the Company of any medical, safety, or behavioural concerns that may affect the delivery of the Workshop prior to the event.
    5.3. The Client will indemnify the Company against any claims, damages, or expenses resulting from the actions or omissions of the Client, students, or staff during the Workshop.
  6. Intellectual Property
    6.1. The content, materials, and resources provided during the Workshop remain the intellectual property of the Company.
    6.2. The Client may use the materials for educational purposes only and may not distribute or reproduce them without the prior written consent of the Company.
  7. Data Protection
    7.1. The Company will handle personal data in accordance with applicable data protection laws.
    7.2. Personal data collected for the purpose of the Workshop (e.g., student information, contact details) will only be used to facilitate the booking and delivery of the Workshop.
    7.3. The Client agrees to comply with data protection regulations when handling any personal data provided by the Company.
  8. Force Majeure
    8.1. Neither party shall be held liable for failure to perform any obligations under this Agreement due to events beyond their control, including but not limited to natural disasters, war, pandemics, or government restrictions. In such cases, both parties will work in good faith to reschedule the Workshop or agree on an alternative course of action.

These Terms and Conditions may be amended by the Company from time to time, with any amendments being communicated to the Client in writing.

By confirming the booking, the Client acknowledges that they have read, understood, and agreed to the above Terms and Conditions.
